#16 - Building Communication Plan


Internal Communication Plan

Internal E-mail system
o   This form of communication can be used to send information to an enormous amount of people at one time.  Although many staff check their email regularly, it may not be the most effective way to communicate urgent information.

Bulletin boards
o   A bulletin board can display a lot of information for staff to be reminded of such as meetings or deadlines.  It is easy to keep up and can be placed in a high traffic area where staff is going to see the board.  A great place to keep a communication bulletin board would be in an office or another place that staff may sign in every day.  

Staff mailbox in main office
o   Notes, flyers, and other reminders can be placed in the staff mailboxes to communicate with staff.  This is not a very personal way to communicate but it is quick and holds the staff member responsible for obtaining their mail.

Weekly all-staff meetings
o   Staff will meet weekly to discuss curriculum, professional development, or other issues that may come up.  Meetings can alternate between whole staff meetings, house meetings, and subject matter meetings.  In addition to weekly staff meetings, staff will meet with grade level tri-weekly.

School Reach – phone systems
o   This is a great source to get messages to all staff at once thru the phone system.  School Reach is an automated phone recording service, which can call a list of programmed numbers to play a recorded announcement or message.

Daily Announcements
o   This can be either thru our morning assemblies or thru our phone intercom system.  Thru our morning assemblies, we can announce to the students and staff important dates to remember, accomplishments or other information that needs to be conveyed. 


External Communication Plan

Email or Flyers
o   Written communication is very important.  Events, announcements, and reminders will be printed out on fliers and distributed directly to students at school or mailed home.  In addition to our students, we can also send out emails or fliers to our support in the community.

Community or City Newspapers
o   Being a charter school and a school of choice, it is important that we market our school to improve our enrollment.  We must get the word out about the accomplishments our school is making and the events we will be having. The local newspapers can advertise our school for us and get our name out there.

Website/Internet advertisements
o   Our website will be used to communicate with the external public.  The website will have a basic overview of the school, contact information, accomplishments, upcoming events, and links to each teacher’s individual classroom webpage.  Each teacher will be required to post homework, announcements, and classroom topics on their website.

Monday Mailers
o   Each teacher will communicate with the families thru a Monday mailer.  This will communicate assignments, projects, upcoming events, due dates, and other important information.

School banner board (in front of school)
o   This sign helps to keep the community informed of important events that are happening in our school.  It also reminds the parents and students of these events as well.
